Gmail has attachment size limits (typically around 25MB). For sending files larger than this, the best practice is to use Google Drive and share a link to the file.

  1. Upload the File to Google Drive (if not already there):
    • Go to drive.google.com.
    • Click the “+ New” button and select “File upload.”
    • Choose the large file from your computer and upload it.
  2. Compose Your Email in Gmail:
    • Open Gmail (gmail.com) and click “Compose.”
  3. Attach File via Google Drive:
    • In the compose window toolbar (at the bottom), click the Google Drive icon (a triangle logo).
    • A dialogue box will open, allowing you to browse and select files from your Google Drive.
    • Find and select the large file(s) you wish to share.
  4. Choose How to Insert the File:
    • At the bottom right of the Drive file selection dialogue, you’ll typically have two options for how to insert the file:
      • Drive link (Recommended for large files): This option inserts a link to the file stored in your Google Drive directly into your email. The recipient clicks the link to access the file. This method does not attach the actual file to the email, thus bypassing email size limits.
      • Attachment: This option is only available if the selected file is small enough to be an actual email attachment (and generally not suitable for files exceeding Gmail’s limits). For Google Docs, Sheets, or Slides, it might offer to send a copy in a common format like PDF or Office.
    • Select “Drive link” for large files.
  5. Set Permissions for the Drive Link (Crucial Step):
    • After selecting “Drive link” and before inserting, Gmail will often check if your intended recipients have permission to view the file in Google Drive.
    • If recipients do not have access, Gmail will prompt you to change the sharing settings for the Drive file. You might see options like:
      • “Share with [number] people” – allowing you to grant specific access to the email recipients (Viewer, Commenter, or Editor).
      • “Turn link sharing on” – allowing anyone with the link to view (or comment/edit, depending on your choice).
    • Choose the appropriate sharing option to ensure your recipients can access the file. For sending to clients or external parties, “Anyone with the link can view” is common, but consider the sensitivity of the file. Sharing with specific people is more secure.
  6. Insert and Send:
    • Click “Insert” (or “Share & insert” if permissions were adjusted).
    • Finish composing your email and click “Send.”

By using Google Drive links, you can effectively share files of almost any size without worrying about email attachment restrictions, while also maintaining control over who can access the shared files.
