Your Google Workspace profile includes information like your name, profile picture, and other details that are visible to others within your organisation and sometimes externally, depending on settings. You can manage most of these details yourself.

Accessing Your Google Account Settings: #

  1. Open a web browser and go to: myaccount.google.com.
  2. Ensure you are signed in with your Google Workspace account (e.g., yourname@example.com). If you are signed into a personal Gmail account, you may need to switch accounts by clicking your profile picture in the top right and selecting your Workspace account.

Updating Your Profile Picture: #

  1. On the myaccount.google.com page, you will likely see your current profile picture (or a default initial) prominently displayed near the top or in the “Personal info” section.
  2. Click on your current profile picture or the camera icon that appears when you hover over it.
  3. A dialogue box will appear allowing you to:
    • Upload a photo: Choose a photo from your computer.
    • From your photos: Select an existing photo from Google Photos if you use it with this account.
    • Use illustrations provided by Google.
  4. Select or upload your desired photo.
  5. You may get options to crop and adjust the photo.
  6. Click “Save as profile picture” or a similar confirmation button.
  7. It might take a short while for your new profile picture to update across all Google Workspace services.

Updating Your Name and Other Personal Info: #

  1. On the myaccount.google.com page, click on “Personal info” in the left-hand navigation menu.
  2. You will see various sections for your profile information:
    • Basic info:
      • Name: Click on your name to edit it. Your Google Workspace administrator may have policies on name changes, but typically users can adjust their display name. Click “Save” after making changes.
      • Birthday: You can usually set the visibility of your birthday.
      • Gender: You can set your gender and its visibility.
    • Contact info:
      • Email: Your primary Workspace email address is usually fixed, but you can add recovery email addresses or alternative emails here.
      • Phone: You can add or update your recovery phone number and other phone numbers, and control their visibility.
    • Addresses: You can add home or work addresses if desired.
    • About me: Some profiles have an “About me” section where you can add a brief description.
  3. Click on any field you wish to update and follow the on-screen prompts. Remember to save any changes you make.

Visibility of Your Information: #

  • For many pieces of personal information (like phone number, birthday), you can control who sees it (e.g., Only you, Your organisation, Anyone). Look for visibility icons (often an eye or a globe) next to these fields in the “Personal info” section.
  • Your name and profile picture are generally visible to others you interact with in Google Workspace.

Administrator-Managed Information: #

  • Some profile information (like your primary email address or certain directory details) might be managed by your Google Workspace administrator and may not be editable by you directly. If you need to change such information, you would typically contact your administrator.

Keeping your profile information, especially your name and photo, up to date helps colleagues and external contacts recognise you across Google Workspace services.
