Gmail’s “Templates” feature (formerly known as “Canned Responses”) allows you to save and reuse common email messages, saving you time and ensuring consistency.

  1. Enable Templates Feature:
    • Open Gmail (gmail.com).
    • Click the Gear icon (Settings) in the top right, then click “See all settings.”
    • Navigate to the “Advanced” tab.
    • Find the “Templates” option and select “Enable.”
    • Click “Save Changes” at the bottom. Gmail will reload.
  2. Create a New Template:
    • Click the “Compose” button to start a new email.
    • Type the content that you want to save as your template. You can include subject lines (though the subject from the template isn’t always automatically used when inserting, the body is the main part). You can use placeholders like “[Client Name]” or “[Project Detail]” that you’ll replace each time you use the template.
    • Once your draft is ready, click the three vertical dots (More options) in the bottom right of the compose window.
    • Hover over Templates, then hover over Save draft as template, and finally click Save as new template.
    • Enter a name for your new template (e.g., “Project Update Request,” “Meeting Follow-Up”) and click “Save.”
  3. Use an Existing Template:
    • When composing a new email or replying to one, click the three vertical dots (More options) in the compose window.
    • Hover over Templates.
    • Click on the name of the template you wish to insert. The template’s content will populate your email draft.
    • You can then customise the email as needed before sending.
  4. Overwrite or Delete Templates:
    • To update an existing template, insert it, make your changes in the compose window, then click the three dots > Templates > Save draft as template > and select the original template name to overwrite it. Confirm the overwrite.
    • To delete a template, click the three dots > Templates > Delete template, and then select the template you wish to remove.
